This policy explains what information Symbolic Mind, Inc. ("Symbolic Mind", "we", "us") collects when you use this website (the "Service"), why we collect it, who sees it and the choices you have. Symbolic Mind is the data controller for the data described here.
Who we are

Definitions
- Personal Data is any information that relates to an identified or identifiable person.
- Usage Data is data collected automatically when you use the Service, such as the pages you visit and the browser you use.
- Service Provider is a company that processes data on our behalf, such as our website host, our form provider and our customer database.
- Device is any device that can access the Service, such as a computer, a phone or a tablet.
What we collect
Information you give us
When you fill in the contact form on this site or email us, we collect what you send: your name, work email address, company name, role, whether you write as an enterprise, a partner or for another reason, and the note you add about your use case or project. The form is provided by Dialed Forms and its answers are stored in our customer database (Attio).
Usage Data
Our hosting provider records standard server logs: your IP address, browser type and version, the pages you visit, the date and time of the visit, the time spent on each page, and device identifiers. We use these logs for security and to understand how the site is used.
Cookies and similar technologies
This site uses three kinds of cookies and similar technologies. Which ones run depends on where you are and on what you choose in the cookie notice; you can change your choice at any time through "Cookie settings" in the footer.

If you visit from the European Economic Area, the United Kingdom, Switzerland or Brazil, analytics and visitor identification run only after you accept them. Elsewhere they run unless you opt out. We honor the Global Privacy Control signal sent by your browser as an opt-out. Google's own notice on how it uses data from sites that use its services is at policies.google.com/technologies/partner-sites.
We do not use advertising cookies and we do not share your data for cross-context behavioral advertising. Fonts and scripts are served from this site, except for the analytics, visitor identification and form services named above.
How we use your data, and on what basis
Where the GDPR or a similar law applies, we rely on the legal basis named with each purpose.
- To answer your request: a question, a partnership enquiry or a press enquiry. Basis: our legitimate interest in replying to you, and the steps needed before a contract you asked about.
- To run and maintain the Service and keep it secure. Basis: our legitimate interest in a working, secure website.
- To measure how the site is used and to learn which companies visit it. Basis: your consent where the law requires it, otherwise our legitimate interest in understanding our audience, with an opt-out.
- To send you information about Symbolic Mind, Charm™ and related products or events that you asked about or that are similar to what you asked about. Basis: your consent, or our legitimate interest in following up a business enquiry. You can opt out at any time by replying to the message or writing to info@symbolicmind.ai.
- To evaluate and run a partnership or a project you proposed. Basis: the contract with you or the steps leading to it.
- To comply with the law and to enforce our agreements. Basis: our legal obligations and legitimate interests.
We do not sell your Personal Data, and we do not share it for cross-context behavioral advertising.
Who we share it with
- Service Providers that host the website, run the contact form (Dialed Forms), provide analytics (Google Analytics), identify visiting companies and store our customer records (Attio), under contracts that limit what they can do with the data.
- Partners, such as an application vendor, an integrator or a data center, only when you ask us to bring them into a project.
- A buyer or successor if Symbolic Mind is involved in a merger, acquisition or sale of assets; we will tell you before your data becomes subject to a different policy.
- Authorities when the law requires it or to protect the rights, property or safety of Symbolic Mind, our users or the public.
How long we keep it
We keep what you send us through the form or by email for as long as the conversation, project or partnership lasts, and afterwards as long as the law or a contract requires. If no conversation follows, we delete the enquiry within 24 months. Server logs are kept for up to 12 months unless an incident requires longer.
Where it is processed
Your data may be processed in the United States and in the other countries where our team and our Service Providers operate. Those countries may have data protection laws that differ from yours. Where the GDPR applies, transfers out of the European Economic Area rest on the European Commission's standard contractual clauses or an adequacy decision. We take reasonable steps so that your data is handled securely and in line with this policy wherever it is processed.
Your rights
You can ask us what Personal Data we hold about you, ask us to correct it, ask us to delete it, ask for a copy in a portable form, restrict or object to our use of it, and withdraw consent you gave earlier. Write to info@symbolicmind.ai. We reply within 30 days. Where the law of your country gives you further rights, for example under the GDPR or the California Consumer Privacy Act, those rights apply, and under the GDPR you may also lodge a complaint with the data protection authority in your country.
Security
We use commercially reasonable measures to protect your data. No method of transmission over the internet or of electronic storage is fully secure, so we cannot guarantee absolute security.
Children
The Service is not directed at anyone under 16, and we do not knowingly collect Personal Data from children. If you believe a child has given us data, write to us and we will delete it.
Links to other websites
This site links to websites we do not operate, such as LinkedIn, Wellfound and Intel. Their privacy policies apply there, and we are not responsible for their content or practices.
Changes to this policy
When we change this policy we post the new version here and update the date at the top. Material changes are announced on this page before they take effect.
